Who we are

Fellten Ltd (“Fellten”, “we”, “us”) is a company registered in England and Wales, company number 11257129, with its registered office at Unit 8 Ashlea Farm, Mapleridge Lane, Bristol, BS37 6PW. We trade as Fellten and Charge Qube, and we operate fellten.com and chargeqube.com.

We are the data controller for the personal information described in this notice.

What we collect, and why

When you make an enquiry

Our enquiry forms may ask for your name, email address, telephone number, company, and details about your site such as postcode, available electrical supply and fleet size, together with whatever information you include in your message.

We use this information to:

• respond to your enquiry;
• understand your requirements;
• prepare quotations;
• supply our products and services; and
• manage our relationship with you.

Lawful basis: taking steps at your request before entering into a contract, performance of a contract, and our legitimate interests in responding to and managing business enquiries.

When you place an order or purchase from us

We process the information necessary to accept and fulfil your order, arrange delivery, take payment, provide services and installation where applicable, and manage warranties, returns and customer support.

We may also use information provided during an order to:

• verify your identity where reasonably necessary;
• process and authorise payments;
• carry out fraud-prevention and security checks; and
• validate information against appropriate third-party databases.

Where necessary, these checks may involve payment providers, fraud-prevention services, credit reference agencies or other appropriate third-party services.

Lawful basis: performance of a contract, taking steps before entering into a contract, compliance with our legal obligations, and our legitimate interests in protecting Fellten and our customers against fraud and misuse.

When you use our chat assistant

What you type into our chat assistant is sent to our service provider to generate a response. We retain the conversation so that we can follow up where appropriate and improve the quality and usefulness of the answers provided.

Please do not enter confidential, sensitive or other information that you would not want recorded.

Lawful basis: our legitimate interests in answering questions about our products and services and improving our customer support.

Looking up your business contact details

When you make an enquiry using a business email address, we may check that address against third-party business contact databases to identify information such as your job title and employer.

We do this so that your enquiry reaches the appropriate person within Fellten and so that we can better understand which types of organisations and roles are interested in our products.

We do not use this information to build a personal profile of you and we do not sell it.

Lawful basis: our legitimate interests in understanding and serving our business customers.

You can object to this use of your information at any time.

When you visit our websites

Our web server records technical information about visits to our websites, including:

• the IP address your device connects from;
• the pages you view; and
• the webpage that referred you to us.

We may check an IP address against public internet registry information to identify the organisation that owns the network to which the address belongs.

This helps us understand which organisations are showing an interest in our products and services.

The lookup does not normally identify an individual and we do not use it to try to identify individual visitors. In many cases, particularly where somebody is using a home or mobile connection, the result identifies only their internet or mobile service provider.

We retain the full IP address for 30 days so that a lookup can be repeated or corrected. After this period, we shorten the address so that it can no longer identify a single connection. We may retain the resulting organisation name and information about the pages viewed for statistical and business-analysis purposes.

No cookie is required for this IP-to-organisation lookup and nothing is stored on your device for this purpose.

Lawful basis: our legitimate interests in understanding which organisations are interested in our products, measuring our market and following up appropriately with businesses.

You can object to this use of your information at any time.

Cookies and analytics

We use Google Analytics to understand how our websites are used and Google Ads to measure which advertisements result in visits and enquiries.

These services may set cookies or similar technologies on your device.

Where consent is required, these technologies are used only after you have given the appropriate consent. You can also clear or block cookies using your browser settings and can change available cookie choices through our website.

Marketing

If you are an existing customer, have made an enquiry, or have otherwise provided your business contact details to us, we may contact you about Fellten or Charge Qube products and services that we believe may be relevant to you where permitted by law.

We do not sell your information or provide it to other organisations for their own marketing.

You can object to direct marketing at any time. Every marketing email we send will provide a way to unsubscribe, or you can contact [email protected].

Lawful basis: our legitimate interests in promoting our products and services to relevant business contacts, where permitted by applicable electronic marketing laws.

Where consent is legally required, we will rely on your consent instead.

Who we share information with

We use other companies to provide parts of our websites and business operations. Where they process personal information on our behalf, they may only use it in accordance with our instructions and for the purpose for which it was provided.

Our main service providers include:

• Google — website analytics and advertising measurement;
• Anthropic — generating chat assistant responses;
• Apollo.io — business contact information lookup;
• Brevo — sending email;
• Odoo — customer relationship management;
• Cloudflare — website delivery, performance and security; and
• Hostinger — website hosting.

We may also share information where necessary with payment providers, fraud-prevention providers, credit reference agencies, delivery providers, professional advisers, regulators or law-enforcement authorities.

We only share information where reasonably necessary for the relevant purpose or where we are legally required to do so.

We do not sell your personal information and we do not share it with other organisations for their own marketing purposes.

International transfers

Some of our service providers are located outside the United Kingdom or may process information outside the United Kingdom.

Where personal information is transferred internationally, we use the safeguards required by UK data protection law. Depending on the destination and service provider, these may include UK adequacy regulations, the UK International Data Transfer Agreement, or the UK International Data Transfer Addendum to the European Commission’s Standard Contractual Clauses.

How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected.

Our usual retention periods are:

• Enquiries and related correspondence: six years from our last contact with you.
• Chat assistant conversations: twelve months.
• Full IP addresses in our website visit log: thirty days.
• Organisation names and page-view information derived from website visit logs: retained as statistical business information once it no longer identifies an individual connection.
• Google Analytics data: fourteen months.

We may retain information for longer where this is necessary to meet a legal, accounting, regulatory or contractual requirement or to establish, exercise or defend legal claims.

Your rights

Depending on the circumstances, UK data protection law gives you the right to:

• ask for a copy of the personal information we hold about you;
• have inaccurate or incomplete information corrected;
• ask us to delete your information;
• ask us to restrict how we use your information;
• receive certain information in a portable format;
• object to processing based on our legitimate interests; and
• object to direct marketing at any time.

Where we rely on legitimate interests, including for IP-to-organisation lookup and business contact-detail lookup, you have the right to object.

If you object, we will stop processing your information for that purpose unless we can demonstrate compelling legitimate grounds for continuing that override your interests, rights and freedoms, or the processing is required for legal claims.

If you object to direct marketing, we will stop using your information for direct marketing.
